Screenshot Tour: What’s New in Office 2016 (from the HowToGeek)

00_lead_image_office_2016

Today marks the release of Microsoft Office 2016. We’ve tested some of the more notable, cool new features and enhancements, which we’ll show you here in our standard How-To Geek style screenshot tour with lots of pictures.
The Office 2016 suite is free through the Windows Store, but that version is limited. The full Office desktop app suite is required to gain access to all the features and functionality. If you maintain an active subscription to Office 365, you’ll get the upgrade to Office 2016 at no charge. You’ll also need a Microsoft account and a OneDrive account to take full advantage of what Office 2016 offers.

Improved Dark Theme and Ribbon Tab Text

The light theme that’s been available in Office may be unusable for some users. For those of you that really don’t like the light theme or simply can’t use it, Office 2016 introduces improvements to the Dark theme that makes it easier to use the interface, including better readability in Word’s navigation pane and several Outlook readability fixes (white text on light background, dark text on dark background, and disabled text being unreadable).
The ribbon tab text is no longer in all caps and hover states on the ribbon tabs have been added.

Smart Lookup, or Insights from Bing

“Smart Lookup” is already available in Word and Outlook, and now it’s been added to Excel and PowerPoint. This feature is also called “Insights from Bing” and helps you learn more about your content by gathering and displaying precisely the right information in the context of what you are reading or writing about. The information is gathered from a variety of sources like Bing Snapshot, Wikipedia, Bing image search, and Oxford dictionary, allowing you to do anything from a quick look up to a detailed exploration without leaving the Office app. Insights can be accessed by right clicking a word or phrase, through the Review tab on the ribbon, or via the “Tell Me” box (which we discuss in the next section). Insights is powered by Bing and uses the selected text and some surrounding content to get contextually relevant results.
Insights can be accessed by selecting a word or phrase and right-clicking on it, through the Review tab on the ribbon, or by using the “Tell Me” box. Insights uses the selected text and some surrounding content to get results that are contextually relevant and links and artwork that you can use to enhance your Office document.

For example, we highlighted “Office 2016” in Word and used the “Smart Lookup” feature to find relevant information online.

In Excel, Smart Lookup can be used to define numbers or equations. This can be very useful to find out more information about formulas and equations used in Excel.

Tell Me – Natural Language Query

For most of us, there a lot of features and commands in Office that we never use. Sometimes it’s simply because we have trouble finding the tools we need. To solve this problem, Microsoft added the “Tell Me” feature, which first appeared in the Office Online suite, to Office 2016. The “Tell Me” feature uses natural language to help you find what you’re looking for. The “Tell Me” box sits inconspicuously to the right of the tabs on the ribbon bar in all the apps in the suite, except for Publisher, OneNote, and Skype.

Now when you need to figure out how to protect a file in Word, create graphs in Excel, or add a signature to your emails in Outlook, all you have to do is ask the “Tell Me” box. Simply start typing a question in the “Tell Me” box and Microsoft will find the best possible answers it can. The results that display are actually actions you can take directly from the menu. You can also choose to “Get Help” on your question or use “Smart Lookup” (discussed in the previous section) to find answers on the web.

Quick Shape Formatting

This feature increases the number of default shape styles by introducing new “preset” styles in Word, Excel, and PowerPoint. Once you draw a shape in your document, you can apply a new preset style to the shape.

Real-time Document Collaboration

Google Docs users have been enjoying real-time collaboration for years. However, Microsoft has finally caught up and improved real-time collaboration in the core apps in Office 2016. Word, Excel, and PowerPoint now make it easy to have multiple people editing the same document, whether they are using Office Online or the desktop Office apps.

08_collaborate_with_office_online

To share a document with other people, use the “Share” button on the ribbon bar in the upper-right corner of the Word window. The “Share” pane allows you to save the document to the folder you shared in your OneDrive account.
NOTE: Before setting up your document to share, you need to make sure you have a shared folder in your OneDrive account.

09_clicking_save_to_icloud

You will be able to see real-time changes made to the document by the other authors with whom you shared the document, and you can see who’s editing the document using the “Share” button.

Improved Backstage

The Backstage screen received an update that makes saving, opening, and browsing for files easier and faster. The “Recent” files list is now categorized by document modification date and the “Browse” button has been elevated for improved visibility and now provides quicker access to the File Explorer.

Convert Handwritten Equations to Text

Word, Excel, and PowerPoint now include a new feature called “Ink Equation” which allows you to insert mathematical equations by handwriting them using a mouse, a digital pen, or even your finger on touch-enabled devices.

12_clicking_ink_equation

Simply write your equation in the dialog box, using the tools to erase, correct, or clear as needed. Your handwritten equation is converted into typed text which you can insert into your document.

13_ink_equation_dialog

This can be a very handy feature is you’re entering long, complicated equations that are easier to write.

Modern Attachments in Outlook

Outlook 2016 has gotten some love as well. Attaching files is now easier and more intuitive. Now, when you click the “Attach” button to attach a file to the current email, you’ll see a list of recently worked on files, both locally and on OneDrive. This can be very useful considering the file you want to attach is probably one you’ve accessed or been working on recently. The list also includes options to browse your PC or web locations if the file you want is not on the “Recent Items” list.

15_selecting_recent_document

After you select the file to attach, the name of the file becomes a drop-down list with options like changing the permissions on the file for the recipient, opening the file location, or attaching the file as a copy.

16_change_permissions_on_attachment

There are many other new features and improvements in Office 2016, such an improved grammar checker, third-party plug-in integration, security and management enhancements, and new modern charts and other improved business intelligence tools in Excel. Real-time collaboration improvements and interface changes, such as the modern attachments in Outlook and the improved backstage view, are the most significant changes, making Office more efficient and allowing you to be more productive.

Microsoft is downloading Windows 10 to your machine 'just in case'

Thu Sep 10 2015, 12:17
Microsoft is downloading Windows 10 to your machine 'just in case'

MICROSOFT HAS CONFIRMED
that Windows 10 is being downloaded to computers whether or not users have opted in.
An INQUIRER reader pointed out to us that, despite not having 'reserved' a copy of Windows 10, he had found that the ~BT folder, which has been the home of images of the new operating system since before rollout began, had appeared on his system. He had no plans to upgrade and had not put in a reservation request.
He told us: "The symptoms are repeated failed 'Upgrade to Windows 10' in the WU update history and a huge 3.5GB to 6GB hidden folder labelled '$Windows.~BT'. I thought Microsoft [said] this 'upgrade' was optional. If so, why is it being pushed out to so many computers where it wasn't reserved, and why does it try to install over and over again?
"I know of two instances where people on metered connections went over their data cap for August because of this unwanted download. My own internet (slow DSL) was crawling for a week or so until I discovered this problem. In fact, that's what led me to it. Not only does it download, it tries to install every time the computer is booted."
We asked Microsoft to comment on whether it was downloading Windows 10 anyway as the company rushes to build on the 75 million machines with the new OS installed in its first month, putting it in fourth place behind Window 7, 8.1 and the erstwhile XP.
Microsoft told us: "For individuals who have chosen to receive automatic updates through Windows Update, we help upgradable devices get ready for Windows 10 by downloading the files they’ll need if they decide to upgrade.
"When the upgrade is ready, the customer will be prompted to install Windows 10 on the device.”
In other words, if you are patching via Patch Tuesday, as you should of course be, then you are going to get a big hefty folder on your hard drive ready so you can update to Windows 10 on demand.
Now, far be it from The INQUIRER to point fingers, but isn't this a bit presumptuous on Microsoft's part? We know it's keen to get everyone on Windows 10 as quickly as possible but this is not a small background patch - it's a whopping huge operating system image.
For someone using a 2-in-1 with 32GB of flash memory, that's a hefty chunk of their storage being clogged up with an OS that they might not want yet, if at all.
Whether you believe it's to avoid fragmentation or to spy on you depends on how much pot you smoked in college, but it now appears to have gone from 'over keen' to 'needy' and you have to wonder why and whether it's going to blow up in the company's face.
It should be enough of a clue that over 10 percent of Windows machines are still on XP and Vista, while there's over 40 percent more of the market on 7 than on 8, to be able to tell that people don't like to assume.
It's like the U2 iTunes debacle again. After that, Bono said: "Oops … I’m sorry about that. I had this beautiful idea … might have got carried away with ourselves. Artists are prone to that thing.
"A drop of megalomania, a touch of generosity, a dash of self-promotion, and deep fear that these songs that we poured our life into over the last few years mightn't be heard. There’s a lot of noise out there. I guess we got a little noisy ourselves to get through it."
Satya Nadella take note: you may have to answer to similar complaints. If any other readers have found that this has happened to them, please get in touch via Disqus or the email link. ยต

The best virtual desktop managers for Windows

Virtual desktops, also called workspaces in some contexts, expand the visual interface of the system usually in the form of copies of the desktop environment but sometimes also by allowing users to scroll on the desktop.
The first platform graced with a virtual desktop managers was Commodore's Amiga 1000 back in 1985. Today, it is natively implement in most Unix-based operating systems and available in form of third-party programs for other operating systems such as Windows.
Microsoft's first implementation of virtual desktops on Windows came in form of its Powertoys tools collection for Windows XP which shipped with options to use up to four desktop interfaces on the system.

Benefits
Virtual desktops offer several benefits over single-screen systems. Without doubt the most compelling reason to use them is that program windows can be separated into groups on different desktops.
This can be done to streamline work processes but also to avoid having to minimize and display windows regularly on the screen due to space constraints.
You could separate entertainment, work, development or messaging programs by assigning them to a specific virtual desktop for example.
Users may benefit from virtual desktops in other ways. Applications can be hidden by launching them on a virtual desktop, and it is possible to set a different wallpaper for each to change the environment visually as well.

Requirements
All virtual desktop programs tested by us had to meet the following requirements to be included in the list below.
  1. Support for all recent versions of the Windows operating system (32-bit and 64-bit).
  2. A free version must be provided.

List of virtual desktop programs

The first part of the list offers a short overview of each program and functionality that it provides. You find a table at the end listing core information that may help you find the right software and recommendations based on our own experience and use cases.

9Desks

9desks
The free program needs to be installed before it can be used. It provides you with up to eight additional desktop environments that you can switch between using hotkeys or the program's system tray icon.
What sets it apart from other applications of its kind is that you can password protect all virtual desktops. While it is still possible to switch to the environment, you are asked to enter a password before you can access the program windows on it.
Apart from that, it supports the usual features that you expect from a virtual desktop application such as moving program windows between desktops.
9Desks supports rules that you can configure for individual programs so that they always launch in the selected environment.

BetterDesktopTool

betterdesktoptool

The virtual desktop program is free for personal use only. It can be used to create up to 64 desktop environments that you can switch between using hotkeys that you define in the interface or the program's system tray icon.
You can display all desktop environments using the Ctrl-Tab key, mouse or hot corners. One interesting feature of the program is to set global applications which will become available in all environments.
You can also use the window and desktop overview options for specific functionality such as accessing windows fast or moving all windows out of the way to access desktop shortcuts.

Desktops by Sysinternals

desktops

Desktops is a lightweight portable program that adds three virtual desktops to Windows so that you control four desktop environments after running it.
You can switch between those environments using the system tray icon or by using the hotkey Alt-[1-4] to do so. The preferences enable you to change the hotkey and configure the program to run on Windows start automatically.
The program lacks options to move program windows between desktops, and since it is relying on Windows Desktop Objects, will not display all open program windows on the taskbar. There is also no option to close the program other than to kill the process directly.

Dexpot

dexpot

Dexpot can be run right after you have downloaded the portable version offered on the developers website. It creates three virtual desktops by default which you can increase to 19 in the program interface.
Here you can also make dozens of modifications such as saving profiles, changing the appearance of program features and desktops, or modifying hotkeys and controls.
Windows can be moved between desktop environments and Dexpot's plugin system makes available extra features such as support for hot corners or dividing desktops into grids.

Finestra Virtual Desktops

finestra options

Finestra Desktops is a highly configurable program for Windows that you can use to create as many virtual desktop environments as you require.
It supports the usual features such as hotkey switching and appearance changes but also several features that most programs of its kind don't offer.
This includes support for multi-monitor systems, rules to launch programs always on the selected desktop, as well as plugin support.

Multi-Desktop

multi desktop

The free program provides you with access to three virtual desktops on start after installation. You can switch between desktops using the small window displaying them, the system tray icon, or by using hotkeys to do so.
You can change the hotkeys using the system tray icon and set different wallpapers for each virtual desktop. The only other options provided are to switch skins and languages, and to start the program on boot.

nSpaces

nspaces

The program does not seem to have any limitations in regards to how many desktops you can create using it. Each desktop can be configured individually in the interface. This includes specific hotkeys, wallpapers and password to protect against unauthorized access.
You can switch between desktops using hotkeys or the system tray menu. The application requires the Microsoft .NET Framework 3.5 or later and needs to be installed.

SharpDesktop

sharpdesktop

SharpDesktop displays a small desktop switcher window on the desktop on start. You can use it to switch between windows, or use the program's system tray icon to do so instead.
The program does not support as many features as other programs of its kind, but if you require lots of virtual desktops, its 100 desktop limit may make it interesting to you.

Virtual Dimension

virtual-dimensions

The free program has not been updated since 2005 but worked fine on our Windows 7 Pro 64-bit test system. It provides you with options to create as many desktops as you require, options to set hotkeys and wallpapers for each desktop individually, an on-screen display for you to configure, as well as options to configure hotkeys for window and desktop switching operations.

VirtuaWin

virtuawin

VirtuaWin is a sophisticated program that enables you to create up to 20 desktop environments. It is offered as a portable version and ships with lots of features that make it one of the most complete virtual desktop managers for the Windows operating systems.
It supports all the usual features, such as using hotkeys to switch between environments, but excels when it comes to additional features such as using the mouse to move between desktops, moving program windows from one desktop to the other, or configuring automatic window behavior, so that specific program windows are always opened on the selected desktop.
Especially the hotkeys that it makes available need to be mentioned here. There are so many options provided, for instance to move a window and follow it to the desktop it was moved to, that solutions for the majority of use cases are provided.

Windows Pager

windows-pager

You can run the program right after you have unpacked it on your system. Configuration is limited to editing an .ini file which you find in the program directory.
Here you can change hotkeys or the number of desktop environments that you want to have at your disposal.
All desktops are displayed in the taskbar so that you can switch between them with a single click.

Xilisoft Multiple Desktops

xilisoft multiple desktops

You can create up to eight virtual desktops using the program after installation. The desktop manager supports keyboard and mouse hotkeys to switch between environments, and options to password protect select desktops to protect them from unauthorized access.

Recommendations

So which virtual desktop manager is right for you? If you are concerned about memory usage try VirtuaWin or Desktops. Both applications use a minimal amount of memory and provide you with a solid feature set that you can work with.
Other programs make sense only if you require functionality they make available. If you want multi-monitor support, try Dexpot, and if you want password protection, check out 9Desks which offers that feature.

Virgo is a 7 Kilobyte virtual desktop manager for Windows

Virgo is probably the lightest virtual desktop manager that exists for the Windows operating system. At 7 Kilobyte on disk and less than 1 Megabyte of RAM when it runs, it is hard to beat.
Existing windows versions do not ship with virtual desktop functionality and while that will change when Windows 10 comes along, it will take years before the operating system may take the crown as the most used version of Windows provided that it won't fail as hard as Windows 8 did.
The majority of Windows users who want access to virtual desktop functionality will rely for years to come on third-party solutions.
Virgo is a portable program that you can run from any location on your system after you have extracted it. The single executable has a size of 7 Kilobyte on disk and no graphical user interface.
The program does add an icon to the system tray indicating the number of the desktop that is currently displayed.
If you are using Windows 7 or newer, you may want to configure the icon to be always visible in the tray area if you require a visual reminder of that.

virtual desktop virgo

You are probably wondering how you control the switching then and other functionality. Easy: with shortcuts. The program supports three types of hotkeys:
  • Alt-1 to Alt-4 - Switch between the four desktops it adds to the system.
  • Ctrl-1 to Ctrl-4 - Move the active window to the desktop corresponding to the number you enter.
  • Alt-Ctrl-Shift-Q - Exit the program.
The switching is ultra-fast with no visible delay between desktop renders, and the same is true when you move windows to another desktop. In fact, the program seems to have been built with performance and speed in mind as it runs well and without any delays.
There is virtually no delay when you are using the program which is impressive, especially if you consider the size of the program.
The author of the program has uploaded it to Github. You may download the zipped executable for Windows from there but also the source code of it.

Verdict
Virgo is an amazing program that works extremely well, is as lightweight as it gets without sacrificing performance for it.
One issue that you may run into is that it maps shortcuts globally that may be used by other programs. Ctrl-1 to 4 for instance are used by web browsers to switch to the first four tabs in the browser.
Since there is no option to remap shortcuts, you may lose functionality when you run Virgo on your system. Other than that though it is an excellent program that I cannot recommend highly enough.
